What HeyZoe is, how it works for clinics and suppliers, what it costs, what it doesn't do — and what to expect from the AI copilot.
01
Getting started
The basics — what HeyZoe is, who it's for, and how to see it in action before committing.
What is HeyZoe?
HeyZoe is the operating system for the longevity and regenerative medicine era. It connects two sides of a fast-growing industry in one place: clinics that want to offer evidence-informed longevity and healthspan services, and the suppliers — peptide manufacturers, compounding pharmacies, diagnostic labs, supplement brands, device makers — who power those services. On the clinic side, HeyZoe replaces the patchwork of CRMs, spreadsheets, supplier emails and disconnected patient apps with a single, purpose-built platform covering patient acquisition, protocol management, biomarker tracking, memberships, telehealth, e-prescribing and a branded patient app. On the supplier side, it opens a direct, verified channel into hundreds of prescribing clinics — no distributors, no middlemen, no minimum order gatekeepers. Underpinning everything is Ask Zoe, an AI copilot trained on longevity medicine that helps clinicians draft protocols, interpret biomarkers and surface the patients who need attention.
Who is HeyZoe for?
Two audiences, built in from the start. Clinics — whether you're an established GP or functional medicine practice adding longevity services, a dedicated healthspan clinic scaling across locations, or a solo practitioner launching your first membership programme — get a complete operating layer without having to rebuild their ops from scratch. Suppliers — peptide manufacturers, compounding pharmacies, biomarker labs, supplement brands and device makers selling into the clinic channel — get a verified distribution network with their own branded storefront, direct provider messaging and a settlement engine that pays out Net 7. HeyZoe also serves patients directly through the Network directory, where they can find verified clinics, read reviews, and book appointments. Employer wellness programmes and health benefit platforms sit on the roadmap as the network scales.
How is HeyZoe different from a CRM or EHR?
Traditional CRMs and EHRs were built for transactional, fee-for-service medicine — appointments, billing codes, chart notes, insurance claims. They were not built for the cadence of longevity care, where the work happens between visits: biomarker trending across 300+ markers, long-horizon protocols with scheduled re-tests, supplier sourcing with a full chain of custody, membership retention that depends on a patient seeing their own progress, and an AI layer that understands peptide pharmacology, hormone optimisation and functional medicine, not just ICD-10 codes. HeyZoe is not a bolt-on to a legacy system. It was built from scratch for this category — which means the supplier marketplace, the protocol engine, the patient app, the biomarker tracker and the AI copilot are all native, not integrations fighting with each other. If you already run an EHR you need for billing, HeyZoe connects to it via HL7/FHIR and handles everything the EHR doesn't.
How fast can I get HeyZoe running?
Most clinics are live and seeing patients through the platform in under two weeks. The standard onboarding runs four checkpoints — data migration from your existing system, protocol library setup (with our clinical team co-authoring your first protocols if you need it), branded patient app submission to the App Store and Play Store, and team training by role. There's no hardware to install and no IT project to manage: everything runs in the browser and on mobile. If you're a supplier, catalogue setup and verification typically takes three to five business days. Complex, multi-location clinic groups or custom EHR integrations may take a little longer; your onboarding manager will scope that upfront.
Where can I see HeyZoe running before I commit?
Book a 30-minute walkthrough with our team. We don't run generic demos — we prep against your specific service mix or product catalogue, so you see the protocols, supplier categories and workflows that are actually relevant to you. If you're a longevity clinic, we'll walk through biomarker tracking, peptide sourcing, and membership setup. If you're a supplier, we'll walk through your storefront, pricing tiers, provider messaging and settlement flow. There's no sales pitch and no commitment required. Use the "Book a demo" button anywhere on the site to get started.
02
For clinics
What you get on the clinic side — the core platform, protocols, memberships and the branded patient experience.
What's included on the clinic side?
Everything a longevity or regenerative medicine practice needs to run, in a single subscription. That includes: a purpose-built CRM with lead routing and a Network directory listing; the Ask Zoe AI copilot for protocol drafting, biomarker interpretation and patient summaries; a protocol library with built-in dosing logic, scheduling, biomarker review checkpoints and patient education content; a biomarker tracker covering 300+ markers trended over time; a branded patient app (your name, your logo, in the App Store and Play Store); built-in telehealth across all 50 US states with compliant video, async messaging and e-prescribing; a membership and subscription engine with pricing tiers, renewal logic and a retention dashboard; access to the supplier marketplace for peptides, compounded scripts, IV nutrients, diagnostics and devices; and a reporting suite that ties outcomes back to protocols. Nothing is bolted on — it all runs natively from one login.
Can I brand the patient app for my clinic?
Yes — fully. Your clinic name, logo, and colour palette appear throughout the app. Patients see your brand at every touchpoint: the App Store listing, the home screen, appointment reminders, protocol notifications, lab results, and provider messages. It's your front door, not HeyZoe's. White-labelling is included in the Practice tier and above. The app ships on both iOS and Android, and our team handles the App Store and Play Store submission as part of onboarding — you don't need a developer. Post-launch, you can update content, add new protocols and push notifications from the HeyZoe dashboard without any additional submissions.
How do protocols work?
Protocols are reusable templates with the full clinical logic baked in — compound or medication, dose, frequency, route, duration, re-test schedule, biomarker review checkpoints, and patient education content. You build a protocol once and prescribe it to any patient in seconds. HeyZoe enforces the dosing schedule automatically, prompts the patient at each step via the app, and flags upcoming biomarker reviews to the clinician. When a re-test comes in, Ask Zoe can summarise the result against the protocol target and draft a note. Protocols are version-controlled, so you can iterate without losing the history of what you prescribed and why. Your library is private to your clinic; you can also browse a curated library of community protocols — including BPC-157, NAD+ IV, semaglutide titration, bio-identical HRT and longevity panels — as starting points.
Can I run a membership program through HeyZoe?
Yes, and it's one of the most commercially significant parts of the platform. Memberships are a first-class object in HeyZoe — meaning they're not a workaround or an add-on, but a core feature with full configuration. You can set up multiple pricing tiers (for example, Essentials, Optimize, and Elite), define what each tier includes (specific protocols, biomarker cadence, consultation frequency, app access, VIP supplier pricing), and configure renewal logic — monthly, quarterly or annual. The retention dashboard shows you who's at risk of churning, who hasn't engaged with the app recently, and which cohorts have the best outcomes, so your team can intervene before a cancellation rather than after. Billing runs through Stripe, so patients get a seamless checkout and you get reliable, automated recurring revenue.
03
For suppliers
How HeyZoe works for peptide manufacturers, supplement brands, diagnostic labs and device makers selling to verified clinics.
What does HeyZoe offer suppliers?
Direct distribution into a growing network of verified longevity and regenerative medicine clinics — without distributors, without minimum order gatekeeping, and without ceding control of your pricing. You get your own branded storefront inside the HeyZoe marketplace, complete with product catalogue, dosing and education content, and clinic-specific pricing tiers. Provider messaging lets you build real relationships with the clinicians ordering your products — answering clinical questions, sharing new research, and staying close to your top accounts. Orders, fulfilment tracking and settlement all run through the platform, so there's no paperwork chase. The pricing engine handles VIP tiers, volume discounts and account-specific deals without manual negotiation. Settlement is Net 7 via Stripe Connect, with no middleman markup between the clinic's payment and your payout.
What do I need to join the marketplace?
You'll need verification documentation for your products and facility — this typically includes CoAs (Certificates of Analysis), evidence of GMP or ISO compliance where applicable, your facility's registration details, and product-level safety documentation. We'll help you format your digital catalogue if you don't have one already. Verification is handled by our supplier onboarding team and typically takes three to five business days once documents are submitted. The bar exists to protect the clinics — and their patients — who rely on the network. Once verified, your storefront is live to the full network (or a closed subset, if you prefer a private channel). There are no listing fees or monthly minimums to remain active.
Do I have to honour minimum volumes?
No — and that's deliberate. One of the core problems HeyZoe was built to solve is the distributor MOQ (minimum order quantity) model that effectively locks small and mid-size clinics out of direct supplier relationships. On HeyZoe, you can sell a single vial to a single clinic if that's what the order is. You set your own fulfilment terms — minimum order quantities, lead times, ship regions — and clinics see those terms before they order. If you want to offer volume incentives (tiered pricing that kicks in at higher order volumes), the pricing engine handles that automatically. You're in control of your fulfilment economics; the platform just removes the distributor from the middle.
How does settlement work?
Settlement runs through Stripe Connect at Net 7 by default, meaning you're paid seven days after an order is confirmed — no invoice chasing, no 30- or 60-day terms, no middleman taking a cut between the clinic's payment and your payout. You set your list prices and any tiered VIP pricing directly in the platform. HeyZoe's fee is taken as a transparent platform percentage; you see exactly what you net on every transaction before you list. Payouts land in your connected bank account automatically. For high-volume suppliers or enterprise accounts, Net 3 settlement and custom payment terms are available — speak to your account manager.
04
Compliance & telehealth
How HeyZoe handles cross-state prescribing, HIPAA, and the part of the workflow that legal cares about.
Does HeyZoe handle telehealth?
Yes — built-in, across all 50 US states, with no third-party video tool required. The telehealth layer includes compliant HD video consultations, asynchronous provider–patient messaging, and follow-up scheduling, all within the platform. Prescriptions written during a telehealth visit route through HeyZoe's state-aware e-prescribing engine, which checks the prescribing provider's DEA registration and state licensure before routing to the appropriate compounding pharmacy or retail dispensary. Telehealth encounters are logged, time-stamped and stored in the patient record, giving you a clean audit trail. For clinics operating across state lines or expanding into new markets, the compliance layer means you're not managing a separate legal review for each state — HeyZoe handles the routing and checks at the platform level.
Are you HIPAA compliant?
Yes. HeyZoe executes a Business Associate Agreement (BAA) with every clinic on the platform. Patient data is encrypted at rest with AES-256 and in transit with TLS 1.3, stored in HIPAA-aligned AWS regions within the United States. Access controls are role-based, with audit logging on every patient record interaction. The platform undergoes regular third-party security assessments, and our engineering team operates a continuous vulnerability management programme. We do not sell, share or use patient data for advertising. The BAA is included in your subscription at no additional cost — you don't need to negotiate it separately. If your legal or compliance team wants to review our security documentation before you sign, we're happy to provide our security posture summary under NDA.
How does e-prescribing work across states?
When a clinician initiates a prescription in HeyZoe, the platform verifies their DEA registration and state licensure against the patient's state of residence in real time. It then routes the prescription to a connected compounding pharmacy or retail dispensary licensed to fill in that state. For controlled substances, EPCS (Electronic Prescribing of Controlled Substances) compliance is built in. If a provider is not yet licensed in the patient's state, the platform flags the issue before the prescription is sent — preventing compliance failures rather than catching them after the fact. All prescription events are logged with a complete chain of custody: who prescribed, when, what was sent, and to which pharmacy. Clinics that operate multi-state telehealth programmes can manage the full prescribing workflow from a single dashboard without maintaining separate state-specific workflows.
Who's responsible for prescribing decisions?
The licensed clinician — always. HeyZoe is a healthcare technology platform, not a laboratory, not a medical provider, and not a prescriber. Ask Zoe can draft a protocol, surface a biomarker pattern, or reference a dosing range, but every clinical decision — what to prescribe, at what dose, for which patient — belongs to the licensed practitioner. The platform is designed to support that clinical judgment, not to replace it. The disclaimer is built into the product at every relevant touchpoint, and our BAA and Terms of Service make this allocation of responsibility explicit. If you're ever in doubt about scope-of-practice questions in a specific state, we recommend consulting your malpractice carrier or a healthcare attorney — we're happy to refer you to partners who specialise in this area.
05
The Network directory
How patients find verified clinics, and how clinics get found.
What is the Network directory?
The Network directory is a patient-facing, publicly searchable listing of every verified HeyZoe clinic. Patients can search by specialty (peptide therapy, hormone optimisation, functional medicine, regenerative medicine, IV therapy, metabolic health and more), by specific service or protocol, and by location — city, state or postcode. Each clinic gets a dedicated practice page showing their services, team, ratings and reviews, accepted insurance or payment types, and a live booking calendar. For clinics, the directory is effectively a free, always-on patient acquisition channel — one that targets the exact patients already searching for the services you offer. Search visibility improves as clinics build their review count and protocol library within the platform.
How are clinics verified?
Every clinic on the Network goes through a structured verification process before their listing goes live. This covers: provider licensure (state medical board status), NPI registration, malpractice insurance carrier and coverage verification, and facility documentation (business registration, applicable state clinic licensure). The same checks run at renewal. Clinics that add new providers need those providers verified before they can prescribe through the platform. The verification bar protects patients searching the directory — they can trust that any clinic they find has been checked — and it protects the integrity of the marketplace for suppliers, who can rely on the fact that every clinic ordering from them is a real, licensed medical practice. The process is handled fully online and typically completes within 48 hours of document submission.
Can patients book directly through the directory?
Yes. Each clinic's Network directory listing includes a live booking page — patients can select a service or consultation type, pick a time from the clinic's real-time availability, complete an intake form, and pay any required deposit or booking fee, all without leaving the HeyZoe experience. Bookings flow directly into the clinic's HeyZoe calendar and trigger automated reminders to both the patient and the provider. Clinics can configure which services are bookable online, set different availability windows for telehealth versus in-person, and require specific intake information before confirming. For clinics that want a frictionless patient acquisition flow, the booking layer removes the gap between "found you online" and "first appointment confirmed."
06
Pricing & billing
What HeyZoe costs and how billing works — for both sides of the platform.
How much does HeyZoe cost?
Clinics pay a monthly platform fee structured per active provider, with volume tiers for groups running multiple locations or a larger provider roster. The entry-level Starter tier covers the core CRM, protocol library, biomarker tracker and marketplace access. The Practice tier adds white-label patient app, full telehealth, membership tooling, SSO and priority support. Custom enterprise pricing is available for groups with five or more locations. Suppliers pay a transparent listing fee plus a per-transaction platform percentage — there are no monthly minimums and no upfront catalogue fees. Full pricing is available on the pricing page, and your onboarding manager can walk you through which tier fits your current setup and how costs scale as you grow. We're not the cheapest tool in any given category — but we're the only one that covers the whole stack.
Are there setup fees?
No setup fees for a standard implementation. Onboarding — data migration, protocol library setup, branded app submission and team training — is included in your subscription. Custom data migrations from legacy EHRs with non-standard schemas, or complex multi-location rollouts with custom workflow configuration, may carry a one-time professional services fee; this will always be scoped and agreed in writing before work begins. For suppliers, there are no listing fees or setup charges to get your storefront live — verification and catalogue formatting support are included.
Can I cancel anytime?
After the initial term (monthly or annual, depending on your plan), HeyZoe is month-to-month. You can cancel with 30 days' notice. When you do, we export every patient record, protocol, biomarker history, message and billing record you put into the platform in standard formats (FHIR + CSV) — no ransoming your own data, no export fees. We then securely delete your data from our systems within 90 days of export completion, per our standard data retention policy. We'd rather you stay because the platform is working than because leaving is hard.
07
Integrations & migration
What plugs into HeyZoe, and how we get your existing data across.
Which EHRs do you integrate with?
HeyZoe supports bi-directional sync with most modern EHRs via HL7/FHIR R4, plus direct API connectors for the major platforms used in longevity, functional medicine and aesthetics practices — including Jane App, Healthie, Practice Better, and others. If you're running a large group on Epic, Athenahealth or similar enterprise systems, we support read/write integration via their published FHIR APIs. The intent is always the same: HeyZoe handles the longevity-specific layer (protocols, biomarkers, memberships, supplier marketplace, patient app), and your EHR handles what it was built for (billing, insurance, chart documentation). You don't have to choose one over the other. If you're unsure whether your current system is supported, ask during your demo and our integrations team can confirm.
Can I import existing patient records?
Yes. Our migrations team handles the full import of patient records, biomarker history, protocol notes, appointment history and billing records from your previous system. We accept standard export formats from most EHRs and practice management tools, as well as CSV exports and manual data entry templates for practices that don't have a digital export available. The migration is handled during your two-week onboarding window, so you start on HeyZoe with your full patient history intact rather than starting from a blank slate. Data mapping and quality review are included — we check for duplicate records and data integrity issues before we confirm the import is complete.
Do you connect with lab vendors?
Yes — HeyZoe has direct integrations with Quest Diagnostics, LabCorp, Vibrant America, Cleveland HeartLab, Boston Heart Diagnostics, and Doctor's Data, plus most specialty longevity and functional medicine labs via HL7 or direct API. When a lab result arrives, it posts automatically into the patient's biomarker tracker, trends against their previous results, and flags for clinician review. Ask Zoe can generate a plain-language interpretation of a new panel against the patient's protocol targets. If you work with a lab not yet on our integration list, our team can typically build a connection within four to six weeks — speak to your account manager about adding it to the roadmap.
What about pharmacies and dispensaries?
HeyZoe integrates directly with compounding pharmacies for peptides, bio-identical hormones and other compounded preparations, and with retail pharmacies for standard e-Rx via Surescripts. For compounding pharmacy integrations, the platform handles compliant prescription routing, state-specific dispensing rules, and order tracking through to fulfilment confirmation. Pharmacy and dispensary partners are verified before they're added to the routing network, so you can trust that every fill is going to a legitimate, licensed facility. If you have an existing relationship with a specific compounding pharmacy that isn't yet integrated, let your account manager know — many independent compounders can be added quickly once they complete a brief verification process.
08
Data & security
Where your data lives, who owns it, and what we do to keep it safe.
Where is patient data stored?
In HIPAA-aligned AWS regions within the United States. Data is encrypted at rest using AES-256 and in transit using TLS 1.3. Our infrastructure is logically isolated per clinic tenant — your data is never co-mingled with another clinic's data at the storage layer. Backups run continuously with point-in-time recovery, and we maintain a 99.9% uptime SLA. HeyZoe does not store data on employee devices or in unsecured third-party tools. For clinic groups with specific data residency requirements — for example, Canadian or EU clinics with PIPEDA or GDPR obligations — speak to your account manager; we have architecture options to accommodate those requirements.
Who owns the data we put into HeyZoe?
You do. The clinic is the data controller under HIPAA; HeyZoe is the data processor under the standard BAA. Your patient records, protocol libraries, biomarker histories, clinical notes and operational data belong to your clinic, not to HeyZoe. We do not sell your data, use it for advertising, or use it to train shared AI models. If you leave the platform, you take a complete export of everything. We take this seriously not just as a legal matter but as a product principle: you should never feel locked in because you can't get to your own data.
Do you support SSO?
Yes — SAML 2.0 SSO is available for clinic groups on the Practice tier and above, compatible with Okta, Azure AD, Google Workspace and any other SAML 2.0-compliant identity provider. SCIM provisioning is available for automated user lifecycle management (provisioning, deprovisioning, role assignment) on the Enterprise tier. Solo practitioners and small clinics on the Starter tier authenticate via email/password with enforced MFA. SSO can be configured during onboarding or added to an existing account at any time; your account manager can walk you through the setup.
What happens if we leave HeyZoe?
You get everything back, in full, in standard formats. Within 30 days of a cancellation or export request, we'll deliver a complete export of your patient records, biomarker histories, protocol libraries, clinical notes, appointment history and billing records — in FHIR R4 and CSV formats, importable into any modern EHR or practice management system. After you confirm receipt and the export is complete, HeyZoe securely deletes all copies of your data from our systems within a further 90 days, consistent with our standard data retention policy and your BAA. There are no export fees. We believe the right way to earn your continued subscription is by delivering value every month — not by making it painful to leave.
09
AI & Ask Zoe
What the AI copilot does, what it doesn't, and how we keep it inside the lines.
What does the AI copilot actually do?
Ask Zoe is a clinical AI copilot built specifically for longevity and regenerative medicine — not a general-purpose chatbot retrofitted to healthcare. In practice, it does several things: it drafts protocols from incoming biomarker results (e.g. "draft a peptide + hormone protocol for this patient based on their latest panel"); it summarises long patient histories into a concise clinical brief before a consultation; it surfaces patients at risk of churn or non-adherence based on engagement signals and biomarker trends; it interprets incoming lab results against protocol targets and generates plain-language patient-facing summaries; it answers clinical reference questions about peptide pharmacology, hormone dosing, supplement interactions and biomarker interpretation; and it drafts patient messages and follow-up notes for clinician review. Everything Ask Zoe produces is a draft for the clinician to review and approve — it does not send messages, prescribe, or take action without a human in the loop.
Is Ask Zoe trained on my patient data?
No. Your patient data is never used to train shared or foundational AI models — not Ask Zoe, not any third-party model HeyZoe uses. Ask Zoe retrieves relevant context from your clinic's own tenant at inference time (meaning it can reference your specific patients and protocols when you ask it a question), but that retrieval is scoped to your tenant and does not update or influence the underlying model. The base model is trained on a curated longevity medicine knowledge base, published clinical literature, and protocol libraries — not on any clinic's patient records. This is a hard data boundary we maintain both contractually and architecturally.
Can Ask Zoe make a diagnosis?
No. Ask Zoe is clinical decision support software, not a diagnostic device, and it is not cleared or intended to replace the diagnostic judgment of a licensed clinician. It surfaces patterns, flags values outside reference ranges, references published literature, and drafts notes — all to make the clinician's job faster and better-informed. The final clinical decision — what the finding means for this specific patient, and what to do about it — always rests with the licensed practitioner. This boundary is both a legal and ethical one, and it's enforced at the product level: Ask Zoe's outputs are framed as inputs to clinical judgment, not substitutes for it.
How does Ask Zoe stay current?
Ask Zoe draws on a curated longevity medicine knowledge base covering peptide pharmacology, biomarker reference ranges, hormone optimisation protocols, supplement science, and emerging longevity interventions — maintained by our clinical advisory team and updated on a rolling basis as new research and clinical guidance is published. The base model is periodically retrained on new curated material. For fast-moving areas of the field (new peptides, updated dosing guidance, recently published trial data), the knowledge base is updated more frequently than a standard model refresh cycle would allow. If you ever find a gap — a compound Ask Zoe doesn't know, a reference range it's missing — you can flag it directly from the copilot interface, and our clinical team reviews every submission.
10
Support & onboarding
What happens after you sign — and what to expect from the people behind the platform.
What does onboarding look like?
Two weeks, four checkpoints. Week one covers data migration (importing your existing patient records, biomarker history and protocol notes from your previous system) and protocol library setup (configuring your existing protocols in HeyZoe's format, plus co-authoring any new ones with our clinical team). Week two covers branded patient app submission to the App Store and Play Store, and role-based team training covering front-of-house, medical assistant, clinician and admin workflows. You'll have a named onboarding manager from day one who runs every checkpoint, troubleshoots anything that comes up, and hands off to your ongoing account manager when you go live. Most clinics are seeing their first patients through the platform by day 14.
Who do I contact when I get stuck?
In-app chat is available during business hours (Pacific Time) with a guaranteed four-hour human response SLA — not a bot first, a person. Clinic groups on the Practice tier and above get a dedicated Slack Connect channel for faster, more informal communication with their account team. Email support is available for all tiers with a one-business-day SLA. If you're dealing with a time-sensitive clinical workflow issue — a prescription that didn't route, a lab result that didn't post, an app that's not behaving for a patient — flag it as urgent in chat and it goes to the front of the queue. We don't have a ticketing system that routes you through three tiers before a human sees it.
Do you offer training for new staff?
Yes — and it's built to survive staff turnover without needing to schedule a live session every time. HeyZoe includes a library of recorded, role-based training playbooks covering four roles: front of house (booking, patient intake, directory management), medical assistant (biomarker logging, protocol tracking, patient app support), clinician (protocol authoring, Ask Zoe, prescribing workflow, telehealth), and practice administrator (reporting, memberships, billing, supplier ordering). Each playbook is short-form and task-oriented — new staff can onboard themselves in a few hours. Live monthly office hours are available for questions that the recordings don't cover, and your account manager can arrange a live refresher for your team at any time.
What if I need help authoring my first protocols?
Our clinical team will co-author your initial protocol library with you — this is included in standard onboarding, not a paid add-on. Bring your current formulary, your preferred dosing ranges and any existing protocol documents (even if they're PDFs or Word files), and we'll structure them into HeyZoe's protocol format: compound, dose, schedule, biomarker checkpoints, patient education content and re-test cadence. If you're new to offering certain modalities (peptides, NAD+, bio-identical HRT) and want a starting point before customising, we'll share the relevant templates from our curated community library. The goal is to make sure you go live with a protocol library that reflects how you actually practice — not a generic set of templates you have to rebuild from scratch.
